Business Tax Deductions: Which Items Should I Deduct?



Sometimes, travel is necessary in order to improve your business. The good news is that the IRS allows you to deduct many of the expenses that come with your business-related travel. You do need to be careful, though. Make sure that your expenses are truly related to business, and that your trip is more about business than about pleasure.

If you are on a temporary assignment (less than a year) or if you are traveling to a convention or trade show for business purposes, you can deduct a number of your travel expenses. Here are some of the expenses you can expect to deduct for business travel:

Car mileage:

If you use your car to drive for business travel, the IRS will reimburse for each mile traveled. Make sure you keep accurate records of your mileage.

Transportation costs:

You can deduct your transportation costs if you don’t use your own car, including transport by airplane, bus and train. Additionally, you can deduct the costs of taxi rides and shuttle rides between the airport/station and your hotel and between the hotel and your work location.

Lodging:

Your hotel costs are tax-deductible.

Meals:

In most cases your business meals while on a trip are limited to 50% of the cost, so keep that in mind as you eat out.

Entertainment:

If you entertain a client or potential partner, and discuss business, you can usually deduct 50% of the cost. Be careful, though, there is a fine line between business entertainment and regular entertainment.

Laundry/dry cleaning:

If you need to pay to have your clothes cleaned while on your business trip, you can deduct it.

Tips: When you provide tips to service providers and drivers, you can deduct those expenses.

Conference fees:

Conference and trade show fees are also tax-deductible – as long as you can show that they are related to your business. As long as you are meeting potential clients or partners, making useful business contacts, or learning skills that will help you better run your business, you can deduct registration fees.

Business communications:

If you incur costs related to business communications (faxes, calls, extra cell phone charges, Internet access), you can deduct those costs.

As always, whenever you plan to claim a tax deduction, you need to make sure that you have plenty of documentation so be sure to keep you receipts. You might even want to take notes about the people you talked to and the business discussions you had (especially important if you want to deduct entertainment expenses). Corporate housing isn’t as expensive as it might seem. Contracts are dependent on how long you want to stay and are often negotiable throughout. Because the housing furnishes your kitchen and other essentials of home living, you don’t have to spend your cash on room service or eating at the local diner every day.

Don’t be fooled by long-term hotels though, as they are quite different from corporate housing. These locations don’t offer the commodities that housing offers, such as fully furnished kitchens, safe parking and are often quite expensive by themselves. You may find yourself spending a lot more here than you would at a corporate home- food and laundry being some of the everyday needs we don’t always consider.

Savings

Staying in a long-term hotel or suite can definitely run up the bills. Most options they offer are indeed just that- costly options. Valet parking, Laundromat and dry cleaning, and room service (don’t reach in that fridge or it’ll cost you at least five bucks). Corporate housing offers these things along with your room. Because everything is furnished for your living needs, you aren’t dependent on options and can live a flexible schedule without intrusion. You are able to save your money and don’t have to rely on a waiter or a bell boy every day.

Money Savings on the Road



It’s time for a road trip, and whether you are off on business, or on vacation, there is much planning to be done. A destination, roads to travel and sights to see are all the advantages that the highway brings. But what about your finances? Money doesn’t grow on trees, and you are likely following a budget. The road can sometimes be a somewhat costly adventure, so saving a few bucks here and there can definitely make a road trip much more enjoyable.

Snacks and Stops

One of the most time and money consuming parts of a road trip are the stops. Though fuel is needed for your car and sustenance for your body, one of the two you can plan for. When you’re on the road, consider bringing not just some snacks, but a cooler with drinks and perhaps some sandwiches. Instead of stopping whenever you get hungry or thirsty, you can just reach into the ice box and grab something to eat.  When you get hungry, stop by one of the picnic areas or rest stops and grab a bite from your own cache. You can avoid all those fast food stops that can cause indigestion while you save money.

The high road or the low road

Google maps offers such a fantastic feature- planning the best route. You can choose the proper route to save money. Gas stops often have varying fuel prices, so you always want to search a route that travels through areas where there will be competitive pricing (small towns with one gas station often have a higher price). The shortest route isn’t always the fastest. Speed limits are different for each road, and often when a road travels through lots of cities or towns, you have to drop your speed, and accommodate for city traffic. This can cost you time and fuel.

A place to stay

If your trip takes you across the country, you may be considering a place to lay your head for the eve. The highway is littered with hotels and motels, but have you ever considered corporate rentals? These locations are not only far more accommodating, but are also cheaper than hotel stays. Arrangements can easily be made, even for enduring amounts of time which is very useful when you get to your destination.

Driving for economy

Hitting the gas and slamming on the brakes isn’t exactly the way to get the best economy out of your car. Driving your vehicle to get the best economy (and save you some cash next time you fill up) is about finesse and diligence. Consider accelerating moderately when you get moving, and letting yourself coast to a stop rather than waiting and slamming on the brakes ten meters before a stop. Allowing your vehicle to coast saves quite a bit of fuel and is far easier on your car (repairs like worn out brakes).

Another helpful hint is that air conditioning does consume quite a bit of fuel. You may consider alternating between using your AC and rolling the window down for a while for a breath of fresh air. While this may be a little difficult in hotter climates, cooler areas often allow you to comfortably save the cash.

Finally, the most important and effective tip is to drive safely. Speeding tickets and accidents are the biggest costs on the road. Remember to watch your signs and obey the law. Drive safely and enjoy the trip.
